Privacy policy
This policy explains what personal information we collect when you use this website or book with us, why we need it, who we share it with and your rights. We keep it to what we actually need to look after you and your car.
Who we are
Popeks Car Polish is the trading name of Popeks Car Polish Limited, a company registered in England and Wales (company number 13731081).
- Address: Unit 2, Little Court, Gammaton Road, Bideford, EX39 4FG
- Email: [email protected]
- Phone: 07552396735
We are the “controller” of your personal information. If you have any questions about this policy or your information, contact us using the details above.
What we collect
- When you book: your name, email address, phone number, postcode, vehicle make, model and registration, the service, date and time you choose, and any notes you add.
- When you pay: payment is handled by our card payment provider. We see that you have paid and the last few digits of the card, but never your full card details.
- If you create an account: your login details, saved vehicles and booking history.
- When you contact us: your name, contact details and your message.
- When you leave a review: your name, town, car, rating and comments. We publish your first name, town, car and review.
- If you join our newsletter: your email address and, if you sign up at checkout, your name.
- When you browse: your IP address is used briefly to block spam and abuse. If you accept cookies, we also collect information about how you use the site (see our cookie policy).
Why we use it, and our legal basis
- To take and carry out your booking, take payment and send your confirmation, calendar invite and day-before reminder. We need this to perform our contract with you.
- To follow up after your booking. We send one email a few hours after your appointment asking how it went and inviting a Google review. This is in our legitimate interest in hearing how we did; reply to that email and we won’t send another.
- To answer your messages and handle any problems with the work (legitimate interests).
- To keep the website secure and protect it from spam and fraud (legitimate interests).
- To send our newsletter, only if you have asked for it (consent). Every email has an unsubscribe link.
- To understand how the site is used and measure our adverts, only if you accept analytics and advertising cookies (consent).
- To keep financial records that the law requires (legal obligation).
We never sell your information, and we don’t use it to make automated decisions about you.
Who we share it with
We only share what each provider needs to do its job for us, and they may only use it on our behalf:
| Who | What for |
|---|---|
| Hostinger | Hosts the website and its database. |
| Stripe | Takes card payments. Your full card details go straight to them; we never see or store them. |
| Brevo | Sends our newsletter, only if you sign up. Stores your email address and name. |
| Google Calendar | Puts bookings in our diary: your name, service, date and time. |
| DVSA MOT History service | If you enter your registration, we look up the make and model so you don't have to type them. Only the registration is sent. |
| Google Analytics | Only if you accept cookies. Tells us how the site is used, such as which pages are visited and whether bookings complete. |
| Meta (Facebook and Instagram) | If you accept cookies, measures our Facebook and Instagram adverts and lets us show them to people who have visited the site. When you book and pay online, we also send Meta the booking value with a scrambled (hashed) copy of your name, email address, phone number and postcode, plus your IP address and browser type, so we can see which adverts lead to bookings. This happens whatever your cookie choice, on the basis of our legitimate interest in measuring our advertising. Meta cannot read the scrambled details; it only matches them to Facebook and Instagram accounts. You can object at any time by emailing us. |
| Our email provider | Sends booking confirmations, reminders and replies to your messages. |
We may also share information if the law requires it, for example with HMRC or the police.
Information stored outside the UK
Some of these providers, such as Google and Meta, may store information outside the UK. Where they do, they use the safeguards UK law requires, such as UK adequacy regulations or the International Data Transfer Agreement.
How long we keep it
- Bookings, orders and payments: 6 years, as UK tax law requires.
- Your account: until you ask us to close it.
- Messages you send us: up to 2 years.
- Newsletter: until you unsubscribe.
- Reviews: for as long as they are shown on the site, or until you ask us to remove yours.
- Analytics: Google Analytics keeps data for up to 14 months.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time, for example by unsubscribing or changing your cookie settings. To use any of these rights, just email or call us. We’ll respond within one month.
If you have an account, you can update your details and saved vehicles yourself in My Account.
If you’re unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
